Privacy Policy

Last updated: November 5, 2026

This Privacy Policy explains how Ria China Care (also referred to as RIA, we, us or our) handles personal information when you visit riachinacare.com, contact us, create an account or purchase our coordination services.

1. Who we are and how to contact us

Ria China Care provides non-clinical coordination for international patients seeking care in China. Contact address: 8880 Rio San Diego Drive, San Diego, CA 92108, USA. Email: info@riachinacare.com. WhatsApp: +1 6693588326. Please use these details for privacy questions or requests.

2. Information we handle

  • Enquiries: your name, email, phone number, country, preferred language, service interests and information you choose to include in messages.
  • Accounts and orders: account details, billing information, purchased services, booking references, payment status and related correspondence.
  • Medical information: medical records, reports and health details you choose to provide for a specialist review or care coordination. These are sensitive information; please provide only what is needed.
  • Technical information: IP address, browser and device information, cookie preferences and website security or access logs. Third-party services may also process technical information when you use them.

Card payments are processed through Stripe. Full card details are handled by the payment provider rather than entered into ordinary enquiry forms or messages. Do not send card details to us by email or chat.

3. Why we use information

We use information to answer enquiries, send a requested coupon, administer accounts and orders, process payments, match relevant specialists, coordinate appointments and requested support, communicate about your service, maintain website security and meet applicable record-keeping obligations. Requesting a coupon does not by itself subscribe you to marketing emails.

Where applicable law requires a legal basis, these activities may rely on steps requested before a contract, performance of a contract, legal obligations, legitimate interests such as security and customer support, or consent. Where required, we obtain explicit consent before processing or sharing health information. You can withdraw consent by contacting us; this does not affect earlier lawful processing and may limit services that depend on that information.

4. Health records and communication

Please do not put medical records or detailed health information in checkout order notes, coupon fields or public comments. Ask your coordinator how to provide relevant records through an agreed channel. Before sharing records with a proposed doctor, hospital or interpreter for your case, we will explain the intended recipient and purpose and obtain permission where required. If you contact us for someone else, you must have authority to share their information. For a child, a parent or legal guardian must contact us.

Live chat, email and WhatsApp are not emergency services. If automated or AI-assisted replies are used, they provide general coordination information, not a medical diagnosis. Avoid sending sensitive records into a general chat; ask for the appropriate record-sharing process.

5. Who may receive information

Information may be handled by website hosting and technical providers, payment providers such as Stripe, email providers and chat providers such as tawk.to, as needed to operate the service. With appropriate permission, relevant information may be shared with treating professionals, hospitals, medical interpreters or other providers involved in your requested arrangements. Airlines, hotels, insurers and visa-related providers receive information only as needed for arrangements you request or authorise. We may also disclose information where legally required or necessary to address fraud, security incidents or legal claims.

Third-party providers have their own privacy practices. See Stripe’s Privacy Policy, tawk.to’s Privacy Policy and WhatsApp’s Privacy Policy.

6. Cookies and external content

Essential cookies support functions such as sign-in, shopping carts, security and saved preferences. Where offered, use the website’s cookie controls to manage optional cookies; you can also adjust your browser settings. Refusing essential cookies may prevent some features from working. Maps, videos, social links and chat services may connect to third parties and process information under their own policies. Where consent is required, optional technologies should not be enabled until consent is given.

7. International processing

Our service connects international clients with providers in China. Information may therefore be processed in the United States, China and countries where our service providers operate. Privacy laws may differ. Where applicable law requires safeguards or specific consent for an international transfer, we will address those requirements before making the transfer. Contact us before submitting records if you have questions about the intended recipients or locations.

8. Retention and security

We retain information for as long as reasonably needed for your enquiry, account, purchased service, follow-up, dispute handling and applicable legal or accounting requirements. Retention depends on the type and purpose of the information. You can request deletion; information that must be retained for legal, security or transaction purposes may be kept for those purposes. We use reasonable safeguards, but no website or communication method can be guaranteed completely secure.

9. Your choices and rights

Depending on your location and applicable law, you may have rights to access, correct, delete or receive a copy of information, restrict or object to certain processing, withdraw consent or complain to a data protection authority. California residents may have additional rights where California privacy law applies. Contact info@riachinacare.com with your request. We may need to verify your identity without asking for unnecessary information. Applicable exceptions may limit some requests.

10. Updates

We may update this policy as our services or legal requirements change. The date above identifies the latest version. Material changes will be communicated where required. Please also read our Terms of Service.
